One important truth

QR mode is a linked-device connection, not the official Meta bulk-messaging API. Option CRM adds responsible controls, but no software can promise delivery, native button rendering or freedom from account restrictions.

What QR mode actually means

Connecting Option CRM is similar to linking WhatsApp Web. Your phone owns the account; Option CRM uses an authorised linked-device session to send and receive.

Remember

Your WhatsApp or WhatsApp Business account remains on your phone.

The Option CRM server must stay online while campaigns are running.

Closing the browser does not necessarily stop a running backend campaign—use Pause or Stop.

Large-scale promotional messaging is more reliably supported through the official Meta Cloud API.

Remember

Use a dedicated WhatsApp Business number, enable two-step verification and keep a backup of important business data.

Avoid

Never scan a QR supplied by an unknown person and never share your Option CRM session folder.

QR setup/02

Connect your first WhatsApp number

Keep your phone and Option CRM screen open together. A QR expires, so scan the newest one.

Step by step

Sign in to Option CRM and open WhatsApp Numbers.

Choose Add WhatsApp Account and enter a clear name such as “Pune Sales”.

Generate the QR code.

Android: WhatsApp → three-dot menu → Linked devices → Link a device.

iPhone: WhatsApp → Settings → Linked Devices → Link a Device.

Scan the Option CRM QR and wait until the account shows Connected/Open.

Send one text message to your own phone before doing anything else.

Remember

If the QR expires, generate a fresh QR. Do not keep scanning an old screenshot.

Avoid

A connected status means the socket is ready. It does not guarantee that every future message will be delivered.

Connection health/03

Read the account status correctly

Check the status before every test or campaign. Never assume yesterday’s connection is still healthy.

Remember

Connected/Open — ready for a test message.

Connecting/Reconnecting — wait; do not start a new campaign.

QR Required — scan the latest QR from the account owner’s phone.

Disconnected/Error — check phone internet and server logs, then reconnect.

Logged Out — the linked session was removed; generate and scan a new QR.

Remember

Name each account by branch or purpose so the correct sender is easy to select.

Rotation/04

Use several WhatsApp numbers carefully

Option CRM can rotate eligible recipients across selected connected accounts. More accounts improve workload distribution; they do not make unwanted messaging acceptable.

Connect and test every account separately.

Select only the accounts intended for the campaign.

Choose sequential rotation for predictable order or random rotation for mixed distribution.

Set a reasonable minimum and maximum delay.

Launch a small batch and confirm each account is actually sending.

If one account disconnects, pause and inspect recovery instead of repeatedly restarting the campaign.

Option CRM distributes work among eligible accounts according to campaign settings. Do not assume an exact 200/200/200/200/200 split unless the final report confirms it.

Do not run several unrelated automation systems against the same WhatsApp account.

Prepare clean, consented contacts

Good campaigns begin with a trustworthy list. A number existing on WhatsApp does not mean its owner agreed to receive promotions.

Step by step

Add contacts manually, paste numbers, or import CSV/Excel/vCard.

Include country codes: an Indian number should normally be stored as +91 followed by the mobile number.

Use groups and tags such as “Existing customer” or “Appointment reminders”.

Review duplicate, invalid, archived and blacklisted contacts before sending.

Use WhatsApp availability verification in batches when needed.

Quick Send is the fastest way to prove the selected account, number format and message are correct.

Build and review a campaign

A campaign combines the audience, content, attachments, interactive actions, sending accounts and pacing.

Step by step

Give the campaign a name that your team will recognise later.

Do not press Start twice. Use the campaign screen to pause, resume or retry.

Relevant, recognisable and concise messages earn better replies than loud, misleading promotions.

Remember

Say who you are and why you are contacting the recipient.

Keep the first screen short and give one clear next action.

Use emojis as signposts, not decoration on every line.

Verify price, date, offer, stock, phone number and link before launch.

Use {{firstName}}, {{city}} and other variables only when the contact data exists.

Generate, edit and approve AI suggestions

Buttons & menus/11

Use interactive messages with a fallback

QR-native buttons and popup menus are experimental. Meta may render, change or suppress them, so every campaign needs understandable fallback text.

Remember

Use no more than three buttons with short, distinct labels.

Popup menus support up to ten total rows in the current capability rules.

Give every button and row a unique internal ID.

Image + three buttons can be one experimental card.

Image + popup menu is sent as a two-part smart sequence.

If native rendering fails, Option CRM may deliver numbered text instead.

A mocked protocol test proves payload construction, not guaranteed rendering on every WhatsApp version.

Use responsible sending controls

Delays, batches, breaks and rotation help control workload. They cannot turn unsolicited messaging into safe messaging.

Remember

Start with a small opted-in audience and a spare/test account.

Use random delay within a reasonable minimum and maximum.

Schedule during appropriate business hours.

Pause when failures, negative replies or opt-outs rise.

Avoid sending the same promotion repeatedly to silent recipients.

Move genuine high-volume business messaging to Meta Cloud API.

Remember

There is no universal “safe messages per minute” number. Account history, consent, relevance and recipient reactions all matter.

Avoid

No software can guarantee that a WhatsApp account will never be restricted.

Live control/13

Monitor, pause and recover correctly

Watch the live report and understand the difference between submission and recipient activity.

Remember

Accepted — the provider accepted Option CRM’s submission.

Delivered — recipient device delivery was reported.

Read — a read receipt was available; recipients can disable receipts.

Replied — Option CRM linked an inbound response.

Failed — submission or delivery processing failed.

Partial — one part of a multi-message sequence succeeded and another did not.

Pause stops new submissions; already accepted messages cannot be recalled.

Resume uses saved progress and duplicate-prevention records.

Remember

If a QR disconnects between an image and its menu, reconnect, inspect the partial status and resume once. Do not create a duplicate campaign.

Protect the business/14

Secure accounts and customer data

QR sessions are equivalent to a logged-in device. Treat them like passwords.

Remember

Use strong passwords and WhatsApp two-step verification.

Serve Option CRM over HTTPS and restrict administrator access.

Never share `.env`, database exports, API keys or session files.

Back up MongoDB and test restoration.

Give staff the smallest role they need.

Remove unknown linked devices immediately.

Rotate any key that was pasted into chat or exposed in a screenshot.

Avoid

A Option CRM administrator should never ask a customer for their UPI PIN, WhatsApp PIN or full database password.

Questions business owners ask

Short, honest answers before you start sending.

Q1Is Option CRM an official Meta product?
No. QR mode uses a linked-device connection. Optional Meta Cloud API mode is the official transport when separately configured.
Q2Can Option CRM guarantee no ban?
No. Consent, relevance and responsible behaviour reduce risk, but WhatsApp alone controls account enforcement.
Q3Will three buttons and popup menus always appear?
No. In QR mode they are experimental and version-sensitive. Always prepare a readable text fallback.
Q4Can I connect five or ten numbers?
The architecture supports multiple owned instances, but each server must be load-tested and every account must be connected and monitored.
Q5Can I close the browser?
The server may continue running. Use Pause or Stop if you intend to halt new submissions.
Q6Does accepted mean delivered?
No. Accepted is provider submission acceptance; delivered requires a later recipient delivery update.
Q7Can Option CRM detect every person who blocked me?
No. WhatsApp intentionally does not provide a reliable “this person blocked you” event.
